Where each one comes from

Zoom (2011) won the pandemic on a single idea: the meeting should start when you click the link. From that it built Zoom Phone (a credible cloud PBX), Zoom Rooms, Webinars and Events, Team Chat, Whiteboard, Scheduler, Contact Center, and AI Companion — packaged since 2024 as Zoom Workplace. Its strengths remain the client, external-attendee experience, and event production; its chat and document collaboration have never displaced Slack or Teams.

Microsoft Teams delivers meetings as one part of a collaboration hub: chat and channels backed by Microsoft 365 groups, files in SharePoint, a phone system, Rooms hardware, webinars and town halls, and an app platform. Meetings integrate with Outlook calendars, transcripts feed Copilot, recordings land in OneDrive/SharePoint under Purview retention, and sensitivity labels can lock down a meeting. Teams Premium adds the higher-end meeting, webinar, and protection features.

Cost model

Teams comes with Microsoft 365 Business plans and (outside the "no Teams" enterprise SKUs) with E3/E5; where unbundled, Teams Enterprise lists at approximately 5.25 USD per user per month. Teams Premium is approximately 10 USD, Teams Phone Standard approximately 8 USD plus calling plan minutes, Copilot approximately 30 USD (all as of 2026-09; check Microsoft). Teams Rooms devices need a Basic (free, limited) or Pro licence per room.

Zoom Workplace is per-user (Pro, Business, Business Plus, Enterprise), with Zoom Phone, Rooms, Webinars, and Events as separate subscriptions and a large-meeting add-on for capacity. For an organisation already on Microsoft 365, Zoom is an additional per-user cost for a capability the licence includes; the case rests on the experience for external-facing meetings and events, or on Zoom Phone's admin simplicity versus Teams Phone.

Choose Teams if

• Microsoft 365 is the platform and one governed system for chat, meetings, files, and phone is the goal.
• Copilot meeting recap, transcripts under retention, and eDiscovery of meeting content matter.
• Teams Phone (with Operator Connect or Direct Routing) replaces a PBX and Teams Rooms standardise meeting rooms.
• Cost: the licence is already paid; Premium is cheaper than a parallel Zoom estate.

Choose Zoom if

• Meetings with external parties — customers, patients, students, the public — are the core use, and join friction costs you.
• Event production (webinars, hybrid events) is a business function with a team behind it.
• The organisation is on Google Workspace or wants meetings decoupled from the productivity vendor.
• Zoom Phone's simpler administration outweighs Teams Phone's integration for your telephony team.

Run both if

Zoom for external-facing meetings and events, Teams for everything internal, with Direct Guest Join on rooms and a rule about which calendar invite type to use. It is a common and workable split; the costs are two meeting cultures, duplicated licences, and compliance coverage that has to be arranged for Zoom separately. Set a review date.

What people get wrong

Comparing Zoom's base tier to Teams with Premium (or vice versa). Ignoring network readiness — poor meeting quality on either platform is usually the network, not the vendor.
