Microsoft Viva Insights

Viva Insights surfaces productivity and well-being patterns from Microsoft 365 telemetry — for individuals, managers, and leaders.

Microsoft Viva Insights turns Microsoft 365 usage data — meetings, emails, chats, focus time — into actionable insights at three levels: individual users, managers, and leaders. It's an evolution of the older MyAnalytics and Workplace Analytics, with a heavier emphasis on well-being and personal effectiveness.

Personal insights

Every Microsoft 365 user gets a free baseline of personal insights, surfaced through:

  • A weekly digest email.
  • The Viva Insights app in Teams.
  • The Viva Insights Outlook add-in.
  • The Microsoft 365 home page.

Personal insights cover:

  • Focus time — uninterrupted time blocks on your calendar, with auto-scheduling.
  • Meeting effectiveness — patterns in your meetings (back-to-back, overlong, missing agendas).
  • Email burden — patterns in your email habits.
  • Stay connected — reminders for people you haven't spoken to lately.
  • Praise — give and receive recognition in Teams.
  • Reflect — daily check-in on emotional state.
  • Mindfulness — meditation content from Headspace.
  • Quiet time — automatic "do not disturb" settings outside work hours.

Personal insights are only visible to the individual — managers and IT can't see them.

Manager insights

For people-managers, manager insights show aggregated patterns about their team:

  • Team focus time trends.
  • After-hours work patterns.
  • Meeting density across the team.
  • One-on-one cadence with direct reports.

To preserve privacy, manager insights are only available for teams above a minimum size (typically 5+ people) and are aggregated — no individual-level data appears.

Leader insights

For executives, leader insights roll up across larger populations (department, function, whole company):

  • Wellbeing trends — after-hours work, weekend work, focus time.
  • Collaboration patterns — how teams collaborate, where silos form.
  • Manager effectiveness signals.
  • Adoption of healthy work practices — focus time, "no meeting Wednesdays."

Leader insights are scoped to a sponsoring leader's organisation and require Viva Insights premium licensing.

Advanced analyst tools

For HR or organisational-design analysts, Viva Insights advanced provides:

  • Custom queries against Microsoft 365 metadata.
  • Custom dashboards.
  • Wellbeing surveys integrated with telemetry.
  • Custom variables and segmentation.

This is the successor to Workplace Analytics. Used for things like quantifying the impact of a return-to-office programme, an organisational redesign, or a leadership training initiative.

Privacy and governance

Viva Insights is privacy-conscious by design:

  • Personal data is metadata-only — no email body, no chat content.
  • Aggregation thresholds prevent identifying individuals in team / leader views.
  • Tenant-level controls can disable personal insights, manager insights, or advanced analytics independently.
  • Region and data residency follow Microsoft 365 commitments.

For tenants rolling Viva Insights out, communicating these protections clearly to employees is essential. Workplace analytics that feels surveillance-y destroys trust faster than any other tool.

  • Personal insights — included with all Microsoft 365 plans.
  • Manager and leader insights — included with Viva Suite or Viva Insights premium.
  • Advanced analytics — Viva Insights premium with additional add-ons for the analyst toolset.

Done well, Viva Insights helps individuals work better and leaders see real patterns. Done badly, it's surveillance dressed up as wellbeing. The difference is communication and policy, not tooling.
